Library

Introduction

A Library offers people a quiet place to study but at busy times (such as before exams or at weekends) space can be very limited. This can include desk space or even space in particular areas of the library (such as desks with computers). These resources are often too busy at certain times with users waiting to use them, and under-used at other times when users are unaware that they are available.

The PanL Desk Manager (PDM), part of the Space management product range from BRT Systems, helps to ensure that users can plan their visit or book desks at the last minute without the inconvenience of waiting for a desk, and that the desks and resources in the library are used efficiently.

Challenges

Limited Space

Limited desks and resources mean that users struggle to find desks, especially if they require to sit together and collaborate

Recurring bookings
Issues with Regular bookings

Users often require a desk at recurring times but face the same difficulties every week to find a desk.

Unauthorised use of Desks

Unauthorised users take up valuable desk resources leaving members unable to find desks

Prioritisation of Bookings

Libraries often lack sufficient desks to meet demand at all times, and a first-come first-served system is not always adequate.

Unnecessary Complexity

Users need to be able to check quickly and easily to see which desks are available.

Solutions

PanL Desk Manager is ideally suited to managing desk resources in a Library or University Library environment, enabling these organisations to effectively manage their available desk resources for their users. • PanL Desk Manager is ideally suited to managing desk resources in a Library or University Library environment, enabling these organisations to effectively manage their available desk resources for their users.
  • The system can generate statistics viewable on the VMC dashboard, including data on desk utilization for management, such as the most utilized desks.  This is useful for the Library to manage bookings and make sure the correct hardware is being utilized.
  • Additionally, the desk viewer and search functionality enable students to book adjacent desks for collaborative tasks when necessary.

Advantages

Easily book desks and collaborate

Users can easily search for and book desk resources for their project via on-the-spot booking, or by advanced booking via the mobile applications or outlook add-in for the library environment. Collaboration on shared projects can be achieved via the booking search functionality.

Recurring bookings

Library users may wish to block-book desk resources for projects and the PDM system allows for recurring bookings so they can ensure a desk resource is available when needed.

Identity based on-the-spot booking

The system enables identity based on-spot booking via the PD35L display enabled via a QR code and the mobile application, ensuring that only library members can book desk resources.

User and Space Grouping

Easily form user or space groups and apply policies or permissions across them quickly, allowing libraries to control desk access for different user groups, such as undergraduates and postgraduate students.

At-a-Glance Status

Unlike systems which reply solely on smartphone apps or computers, the PD35L display at every desk provides at-a-glance status for all users via the display and Status Light. Users can see the status of a desk immediately.
